Children of the Forest — Training Course Terms & Conditions
1. Booking and Payment
Places on all training courses are secured by full payment at the time of booking. A place is not confirmed until payment has been received in full.
2. Cancellations by You
If you need to cancel your place, refunds are given on a sliding scale based on how much notice you give us:
More than 4 weeks before the course start date: full refund
2–4 weeks before the course start date: 50% refund
Less than 2 weeks before the course start date: no refund
If you don't attend without giving prior notice, no refund is given.
Refunds are always at our discretion and may vary for exceptional circumstances (for example, serious illness), assessed case by case.
3. Cancellations by Children of the Forest
Occasionally we may need to cancel, postpone, or reschedule a course (low numbers, facilitator illness, extreme weather, or other circumstances beyond our control). If this happens, you can choose either a full refund or a transfer to the next available date at no extra cost.
4. Transfers
If your own plans change, you may request to transfer your booking to a different date or cohort of the same course, subject to availability, up to 2 weeks before the course start date. Transfers are not guaranteed and are handled case by case.
5. Overnight and Camping Courses
Some of our courses (including weekend and residential formats) involve overnight camping on site. For these courses:
You're responsible for bringing your own suitable kit: tent or hammock setup, sleeping bag rated for the season, and appropriate clothing and footwear for outdoor conditions, day and night
Our woodland site is a working outdoor environment; ground conditions, weather, and temperature can change quickly, and we can't guarantee specific conditions
You're responsible for the security and condition of your own equipment and belongings while on site
If you have a health condition, allergy, or access requirement that could affect your ability to camp or take part in overnight activities, please tell us before the course so we can discuss what support is possible
6. Health, Safety, and Participation at Your Own Risk
Forest school and outdoor training inherently involves physical activity, tools, fire, and changeable weather. By booking, you confirm that:
You'll disclose any relevant medical conditions, allergies, or access needs at the time of booking
You'll follow the reasonable safety instructions of course facilitators at all times
You take part in practical and outdoor elements at your own risk, alongside the general duty of care we hold as course providers
Children of the Forest holds public liability insurance for course activities. This doesn't remove your own responsibility to follow safety guidance and look after your own wellbeing on site.
7. Conduct
We ask all attendees to treat facilitators, fellow participants, and the site itself with respect. We reserve the right to ask someone to leave a course, without refund, if their behaviour puts others at risk or seriously disrupts the group.
8. Course Content and Facilitators
Course content, timings, and facilitators may vary slightly from what's advertised, for reasons such as weather, group needs, or facilitator availability. We'll always aim to keep the spirit and standard of the course the same.
9. Photography and Media
We sometimes take photos or video during courses for use on our website, social media, and future marketing. If you'd rather not appear in any of this, let us know before the course starts and we'll make sure you're left out of anything we use.
10. Data Protection
Any personal or health information you give us is used only to run the course safely (for example, catering, health and safety, and emergency contact purposes) and is not shared beyond that without your consent, in line with UK GDPR.
These terms apply to all Children of the Forest training courses and CPD events unless a specific course states otherwise.
